Building anything can create problems—even a backyard swing set.
Now multiply the drawings, contracts, decisions, suppliers, schedules and risks across a hospital, stadium, airport, school or government facility.
A megaproject is not simply a larger construction project. Without control of its information, it can become a blank check.

When the Owner Cannot Verify the Facts
The warning signs rarely appear all at once.
A drawing revision is distributed without its supporting decision. A meeting-minute entry changes the meaning of a commitment. An RFI answer cannot be connected quickly to its schedule or cost impact. One contractor works from a different document set than another.
Each event may appear manageable. Together, they create an environment in which the project can bleed time and money.
As occupancy approaches, the pressure becomes even greater. The owner needs the building. Operations teams are preparing to move in. Revenue, public services or patient care may depend on opening.
At that moment, unresolved documentation can become leverage.
The question is no longer, “Is this change justified?” The question becomes, “What must we pay to open?”
What Are You Willing to Tolerate?
Owners are routinely told that overruns, delays and disputes are simply part of construction.
Contingency funds are consumed. Reserves become extensions of the working budget. Additional meetings are scheduled to reconstruct what happened, who authorized it and which document governed the work.
Eventually, the original budget begins to look less like a financial boundary and more like an opening estimate.
But owners should ask a harder question: How much uncertainty are we willing to fund?
If a decision cannot be traced to the contract, schedule, drawing, RFI, meeting record and person who authorized it, the project is operating on memory and interpretation—not governed facts.
Connecting Data Silos Is Not the Same as Governing Them
The construction industry’s latest big idea is connecting existing platforms through APIs.
Connectivity can be useful, but moving information between systems does not automatically make that information complete, current or trustworthy.
An API can transfer a document. It cannot independently determine whether the document is the correct version, whether required information is missing, whether a commitment was changed or whether the record supports the owner’s decision.
Connecting one ungoverned data silo to another can become the digital equivalent of moving material from one trash bin to the next. More connected confusion is still confusion.
Project Knowledge Requires Governance
MySmartPlans provides owners with an independent layer of project-information governance.
We capture, organize, track and preserve the complete project record across contracts, drawings, specifications, RFIs, submittals, schedules, meeting minutes, field reports, changes, commissioning and turnover.
Every critical record is connected to its supporting evidence. Activity is date- and time-stamped. Missing information is identified while the project team can still act.
That creates something owners rarely receive from traditional technology stacks: decision-ready project knowledge.
Not another search result. Not another opinion. Not another meeting to discuss what someone believes happened. One click to the facts supporting the decision.
The Most Valuable Project Partner Is the Record
People change roles. Contractors demobilize. Consultants leave. Memories fade.
The organized record remains.
It can show what changed, when it changed, who knew, who acted and what the contract required. It supports construction today, commissioning and occupancy tomorrow, and facility operations for decades.
For owners who understand the risk, governed project knowledge is not an optional application. It is a project requirement.
Stop Writing Blank Checks
Your construction budget should establish control—not announce how much money is available to absorb uncertainty.
Do not wait until a dispute, delay or occupancy deadline forces your team to reconstruct the truth.
Build with the complete record from Day One.
Build to verify. Build to decide. Build to defend.
One source. Only facts. Asked and answered.
