How to Verify Change Orders and Prepare Maximo Ready Turnover

A construction change can affect more than the budget. Replacing equipment may also change an asset identifier, warranty, maintenance requirement, commissioning procedure, and turnover record.

Owners need a process that carries the approved change into the information operations will receive. That process should begin during construction, with the facilities team’s requirements already defined.

Verify the change before approval

For each change order, connect the request to the original scope and the documented instruction or condition behind the change. Review the applicable drawing revision, RFI response, ASI, approved submittal, and supporting cost records.

If a schedule impact is claimed, identify the documentation supporting that impact. Record unanswered questions and request clarification before making a decision.

These checks establish an information basis for review. They do not replace technical, commercial, or contractual evaluation.

Carry the decision into the asset record

Consider a hypothetical pump substitution. The change order is approved, but the original pump manual remains in the turnover folder. A project report can show the change as complete while the facilities record still describes the wrong equipment.

Prevent that mismatch by connecting the accepted equipment to its approved submittal, final identifier, warranty, manual, and commissioning results. Preserve the original record and the history of the substitution.

Give each missing or superseded item an owner and a resolution date. Review those items before accepting the turnover package.

Define Maximo requirements before collection begins

Maximo-ready delivery depends on the owner’s asset hierarchy, required fields, naming conventions, classifications, and import process. Agree those requirements with the operations team early.

Test a representative asset record and its associated documentation before preparing the full delivery. Confirm field mapping, identifiers, and import validation with the team responsible for the receiving system. A folder of manuals alone does not demonstrate that readiness.

MySmartPlans connects construction and commissioning records to the assets they describe. Digital Information Librarians organize the information as it arrives, and predictive closeout tracks gaps against owner requirements.

SmartRoom QR and NFC access can connect facilities staff to room and asset information at the point of work.

Build it once. Deliver it Maximo ready. Preserve the decisions that explain what was built.
