How Owners Can Stop Construction Data Chaos Before It Takes Over
Construction data chaos begins when records arrive faster than anyone can verify them. Drawings accumulate, revisions circulate, and the same document appears in several locations. By the time an owner asks what supports a decision, the team may have to reconstruct the history.
Owners can get ahead of that problem by defining information requirements early and assigning responsibility for checking the record throughout the project.
A data dump needs an acceptance process
A large upload or export may be a necessary transfer. The problem begins when delivery is treated as acceptance without checking the contents.
If a project changes systems midway through construction, the owner needs to know whether the transfer preserved document identifiers, revision history, approval status, attachments, and links between records. A file count alone cannot establish that continuity.
Duplicate files also need careful treatment. Two identical copies may be redundant; two versions of the same drawing may be essential to the history. Removing duplicates without preserving revision context can create another gap.
Put someone in charge of the information
Start with a written owner information standard. Define required records, naming conventions, revision rules, asset identifiers, access rights, and turnover formats. Assign a responsible party and due date to each requirement.
Then review incoming records against those requirements at agreed intervals. Track missing documents and broken connections while the people responsible for resolving them are still on the project.
Test the process with an actual decision: choose one change order and trace it to the instruction, drawing revision, supporting cost documentation, and related schedule record. Record what can be verified and what remains unanswered.
Keep the record useful throughout construction
MySmartPlans combines software, Digital Information Librarians, and closed AI to manage the information behind project decisions. Our Digital Information Librarians organize and connect drawings, specifications, RFIs, submittals, ASIs, change orders, and commissioning records as work progresses.
Predictive closeout brings attention to outstanding information before turnover. Owner custody keeps the record available for the building’s operational life.
