# SmartRoom™ Demo Readiness Checklist

A public SmartRoom™ demonstration should show the experience of connected facility knowledge while protecting project, security, personal and proprietary information. Complete this checklist before publishing a QR code, installing signage or presenting the demo.

Destination and access

• ☐ The QR code opens a dedicated demonstration environment—not a live project.
• ☐ The destination URL is stable, uses HTTPS and works without an internal login unless the demo is intentionally gated.
• ☐ Owner, contractor and vendor names are fictional or approved for public use.
• ☐ The demo contains no controlled, confidential, security-sensitive or personally identifiable information.
• ☐ Permissions have been tested with a public or logged-out user.

Demonstration content

• ☐ The sample room or asset is clearly labeled as demonstration information.
• ☐ Approved drawings or diagrams are sanitized and legible on mobile devices.
• ☐ Equipment information includes a fictional or approved manufacturer and model.
• ☐ Sample O&M manuals, warranties and commissioning records contain no restricted details.
• ☐ Training, service history and replacement information demonstrate useful lifecycle knowledge.
• ☐ Dates, statuses and revision histories show how the governed record works.
• ☐ Every link and download opens the intended item.

User experience

• ☐ The QR code scans on current iPhone and Android devices.
• ☐ It works in bright, dim and angled viewing conditions appropriate to its intended location.
• ☐ The center logo does not interfere with reliable scanning.
• ☐ The landing page identifies what users can learn and where to select next.
• ☐ Text, buttons and records are readable without excessive zooming.
• ☐ An accessible alternative URL is printed near the code.
• ☐ A contact or demonstration request is easy to find.

Brand and governance

• ☐ The headline reads “Scan the Room. Know the Asset.”
• ☐ The message describes verified project and facility knowledge—not unrestricted access to all records.
• ☐ Trademark, photography and document permissions have been confirmed.
• ☐ The demo owner and review schedule are documented.
• ☐ Analytics, if used, collect only approved information and follow the applicable privacy notice.
• ☐ A process exists to disable or redirect the QR code if the destination changes.

Final test

Ask three people unfamiliar with the demonstration to scan it and answer:

• What asset or room am I viewing?
• Can I find its operating, warranty and commissioning information?
• Do I understand how SmartRoom™ reduces callbacks and preserves owner knowledge?

Publish only when all three answers are consistently “yes.”
